ANNEX IIa: DESCRIPTION OF PROCESSING -RELESYS PLATFORM
Categories of data subjects whose personal data is processed
The data subjects under this agreement will consist of the data controller’s employees.
Categories of personal data processed
The data processed will consist of personal data extracted from the data controller’s HR system. The data extracted will consist of the data subjects full legal name, job title and function, contact information such as email address and telephone number, pictures of the data subject and the location of the data subject.
Furthermore, data extracted from the data controller’s workforce system, regarding the data subjects shift schedule or duty plan, will be processed.
Lastly, data collected by third party-system, that have been imported into the data processors platform will be processed.
The data controller and the data processor have agreed that sensitive data will not be processed under this agreement. The data controller commits to omit sensitive data from the platform.
Nature of the processing
The nature of the processing consists of collection of the data from the data controller, structuring of the data in the data processor’s platform and storage of the data.
The data will be stored until the data controller has notified the data processor, that the data must be deleted or returned to the data controller.
If the data is to be returned to the data controller, the data processor must ensure that all copies of the data will be deleted, unless it is required under the law of an EU Member State to store the data.
Purpose(s) for which the personal data is processed on behalf of the controller
The purpose of the data processing is to give the data subjects access to the data processors Communication and Performance platform (Relesys Platform).
Furthermore, the purpose is to provide information to the data subject regarding personal and organizational level performance on selected business Key Performance Indicators (KPI’s).
Additionally, where the Client has enabled AI-powered features of the Platform, the purpose is to train and improve AI models, solely to develop and enhance such AI-powered features for the benefit of the Client and its data subjects. Such processing shall not be used for any purpose beyond the improvement of services provided to the Client.
Duration of the processing
The processing will take place during the contractual relationship between the parties.
